The attachment outlives the email
Send a tax return, an invoice with your bank details, or a medical letter by email, and you’ve created copies you no longer control: one in your sent folder, one in the recipient’s inbox, more on whatever servers relayed the message, all sitting there indefinitely. The same is true of files parked in shared drives and cloud backups. A password changes the math — anyone who stumbles on a stray copy finds an encrypted file instead of your paperwork, because the protection travels with the document wherever it’s copied. Encryption is the difference between hoping nobody looks and knowing it doesn’t much matter if they do.
Step by step: lock the file before it leaves

- Choose a password. Length beats cleverness: a passphrase of four or five random words resists guessing far better than a short word with a number stuck on. Avoid anything printed inside the document itself, like an account number.
